Complete Church Rummage Sale Planning Toolkit

A rummage sale is more than a fundraiser — it's a small ecosystem of generosity. It helps people let go of belongings they no longer need, makes good, useful items available to others at a price they can afford, funds a ministry through what's raised, and sends everything left over to local charities who can put it to work. Few events accomplish that much at once.

Running one well, though, takes more than a spreadsheet and good intentions — it takes a system. This bundle gives you the complete, field-tested playbook: a Start Here introduction and prep timeline, ready-to-adapt volunteer materials, charity coordination (including a ready-to-send invitation email and a lower-hassle alternative model), pricing guidance, space setup, signage, and the paperwork you need for donations and petty cash — organized into folders so you can find what you need without digging.

Whether this is your congregation's first rummage sale or your tenth, this toolkit takes the guesswork out of what to do when, so you can focus on the work itself instead of reinventing the process every year.

What's Included

Organized into six folders:

  • Start Here — an introduction covering the "why" behind a rummage sale, guidance on locking in your date early and being considerate of shared space, a full prep timeline (6 months out through post-sale), and a Lessons Learned checklist with day-of tips
  • Advertisements — communications timeline with example newsletter, bulletin, e-blast, and social copy timed to your sale calendar, plus a sample classified ad
  • Volunteers — an About Volunteers guide, to-do lists by sale section (clothing, electronics, household, linens, kids), and a task list organizers can hand off in the moment
  • Space Set Up — guidance on securing a space, gathering tables/racks/shelves, and getting setup approved, plus a sample floor plan diagram, printable signage, and a full supplies list (tagging guns, tape, bags, cashier station essentials, and more)
  • Charities — two approaches to clearing leftover inventory (an in-person charity event or an Adopt-a-Charity alternative), plus a ready-to-send charity invitation email template
  • Money and Finance — budget overview, petty cash request template, pricing cheat sheet across 8 item categories, and an item donation receipt template (provided in Pages, Word, and PDF)

Format

Files are provided as PDF, with the donation receipt also included in Pages and Word for full editability. Update dates, names, and local partner details to match your congregation. Note: some source files were created in Pages, which can shift slightly when opened in Word — refer to the included PDF as a visual reference where provided.

Ideal For

Churches running (or starting) an annual rummage sale — especially those using proceeds to fund a youth mission trip, community outreach, or another designated ministry.
